What we do with the personal information you give us when you ask about a job, what we keep and for how long, and the rights you have over it. Last updated 2 September 2026.
Who we are
Kingstons Construction Ltd is a building contractor based at 20 London Road, Caterham, Surrey CR3 5PQ. We are the data controller for the personal information described in this policy, which means we decide how and why it is used. What we collect
We only collect what we need to answer your enquiry, survey the job and carry out the work. Almost all of it comes from you directly, when you call, email or write to us.
- Your name, telephone number, email address and postal address.
- The address of the property where the work is to be done, if different.
- Details of the job: what you want built or altered, drawings, plans, photographs, planning and building control paperwork, and your timescale and budget.
- Records of our dealings with you: emails, notes of calls and site visits, surveys, quotations, contracts, invoices and payments.
- Contact details for the other people involved in your project, such as your architect, structural engineer or building inspector, where you give them to us.
Occasionally we receive your details from someone else, for example an architect who recommends us or a client who passes on a neighbour's number. We do not ask for sensitive information such as health or financial account details, and we do not knowingly collect information about children.
How we use it, and why we are allowed to
UK data protection law requires a lawful basis for each use of your information. Ours are these.
- To reply to your enquiry, arrange a free survey and prepare a written quotation. These are steps taken at your request before entering into a contract.
- To carry out the work you have engaged us for, including dealing with building control, suppliers and the certified gas and electrical contractors we use, and to honour our 10 year guarantee afterwards. This is performance of our contract with you.
- To keep business records of quotations, contracts, invoices and correspondence. This is our legitimate interest in running the business and resolving any dispute, and our legal obligation to keep accounting records.
- To put prospective clients in touch with you, or show them your finished build, only where you have agreed to that. This is your consent, which you can withdraw at any time.
- To publish your testimonial on this website, only where you have given it to us for that purpose. Again, this is your consent.
We do not sell your information, we do not use it for automated decision making, and we do not add you to any marketing list. We will not send you marketing emails or texts.
Who we share it with
Only the people who need it to do the job.
- The tradesmen and certified contractors working on your project, who need the site address and your contact details.
- Building control, your local planning authority and other bodies where the work requires it.
- The Federation of Master Builders, if you take out the optional insurance backed guarantee through them.
- Our accountants, and our insurers in the event of a claim.
- A court, regulator or the police where the law requires it.
Your information stays in the United Kingdom. We do not transfer it overseas.
How long we keep it
Records of a completed job are kept for as long as our guarantee runs and for the period the law requires us to hold accounting records, which in practice means up to 10 years after the work is finished. If you enquire but the job does not go ahead, we keep your details for no more than 6 years from our last contact, and then delete them. Testimonials stay on the website until you ask us to take them down.
Keeping it safe
Your information is held on password protected office systems and in paper files kept at our office. Access is limited to the people who need it. No system is perfectly secure, but we take reasonable care to keep your records from being lost, altered or seen by anyone who should not see them.
Your rights
Under UK data protection law you can ask us to:
- Give you a copy of the personal information we hold about you.
- Correct anything that is wrong or incomplete.
- Delete your information, where we no longer need to keep it.
- Stop or limit a particular use of it, including withdrawing any consent you have given.
- Provide your information to you, or to someone else, in a usable electronic form.
Write to us at the address below or email admin@kingstonsconstruction.co.uk and we will respond within one month. If you are not happy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
This website
This website has no enquiry form and no user accounts, so it collects nothing you type. It sets no cookies and runs no analytics or advertising trackers. Fonts and videos are served from our own hosting rather than a third party. Our hosting company keeps standard server logs, which record the IP address of each visit for security and fault finding and are deleted automatically after a short period. Our cookie policy says more.
Changes to this policy
We review this policy from time to time and will publish any change here, with the date at the top updated. This version is dated 2 September 2026.
